Getting started takes about two minutes, and the free plan is enough to see whether Claude fits your work. Go to claude.ai, create an account, and start typing in the chat box. There is nothing to configure first.
You can use Claude in four places, and your conversations sync across all of them. There is the web app at claude.ai, a desktop app for Mac and Windows, a mobile app for iOS and Android, and an API that developers build on top of. Most leaders live in the web and mobile apps, and the desktop app is worth installing if you want Claude alongside your other work windows.
The free plan is genuinely useful, not a crippled demo. It includes web search, memory, file creation, and connectors, with tighter usage limits that reset every few hours. That is enough to test Claude on real tasks before you decide whether to pay. What Claude Does Best
Claude is best known for two things: writing and coding. It is widely praised for writing and editing, and it is one of the strongest coding models available, which has made it the most popular choice among developers.
There is a third strength that matters more for leaders than it first appears, and that is the ethical dimension. Anthropic's approach is called Constitutional AI, which means the model is trained to critique and revise its own outputs against a written set of principles, rather than being shaped purely by ad hoc human feedback.
In practice, that produces a steadier tone, more predictable behavior, and extra caution when the stakes are high. Choosing the Right Claude Model: Opus, Sonnet, Haiku, and Fable

You are paying for frontier AI capability, but most of the time you are not using it, and knowing which level to reach for is what separates confident users from wasteful ones. Claude is not one model. It is a set of models, and each one has a different job.
Sonnet 5 is the default and the right starting point for most work. Anthropic calls it their most agentic Sonnet model yet, which means it is strong at planning, using tools, and following through on multi-step tasks like drafting, summarizing, research synthesis, and coding. You do not need Opus for everything, and on Pro its usage is capped because it costs more compute, so if you keep hitting that ceiling, that is the signal to move up to Max.
Fable 5 is Anthropic's most powerful model, built for long-running agentic systems. It can research a topic, write a plan, produce documents, improve them on feedback, and manage tasks across tools with little human help. It draws down usage much faster than Opus, so it suits teams building serious AI systems more than daily individual tasks.
To switch, start a new chat and click the model name in the prompt box to open the model picker, where you can also set the Effort level. Higher effort gives better results but uses more time and credits. The simple rule: most of your work belongs in Sonnet, and your hardest problems belong in Opus.
Prompting Claude: How to Get Better Output
Like every large language model, Claude does its best work when you stop asking it questions and start briefing it, and the simplest way to brief it consistently is a framework we call CODO. - Character: who Claude should act as. Set the bar high, since a "seasoned strategy advisor" gets you further than a "helpful assistant."
- Objective: what you are really trying to achieve, not just the deliverable, so Claude can shape the answer around your actual intent.
- Do's and don'ts: your guardrails and hard-won judgment. Specifically in Claude, being explicit about what you do not want, like "avoid corporate buzzwords," shapes the result as much as any positive instruction, and asking for a targeted revision such as "make it 30% shorter and cut the intro" works far better than "make it better."
- Output: the exact format, length, and tone you want back. Claude responds especially well when you show rather than tell, so paste two or three examples of the style you are after instead of describing it in the abstract.
The good news is that Claude is forgiving, so you do not need a secret syntax. The best approach is to talk to it the way you would brief a capable colleague: tell it who you are, what you are trying to do, and what a good result looks like.
The biggest mistake is treating prompting as a single shot. The best results come from a back-and-forth: you give a brief, Claude gives a first attempt, you say what works and what does not, and it refines. Three or four rounds of that produces something genuinely good. Think of it less like issuing a command and more like directing a fast, capable colleague.
The most capable models, Opus 4.8 and Fable 5, reward a slightly different touch. These frontier models follow instructions more literally, so be explicit about scope: if you want something applied to the whole document or every example, say so. They also respond better to positive instructions than to prohibitions, and their effort setting changes how deep the answer goes. Expect it to take time, and treat that as the point. A serious research run can take up to 30 to 45 minutes because it is doing multi-step retrieval, not producing a quick reply. Claude often opens with a few clickable clarifying questions first, which makes scoping the work feel more structured.
Use Research when the work needs coverage, evidence, and defensibility, like a board-ready brief where every material claim needs a citation. It is available on paid plans across web, desktop, and mobile, and it consumes your usage faster because it retrieves and reasons across many sources.
Using Claude to Analyze Data and Build Charts
Claude is a capable analyst, not just a writer, so you can hand it a dataset and work through it in the same conversation. You either connect Claude to your files or upload a dataset like a CSV, and it reads the data, reasons across it, and produces interactive charts and tables you can inspect and refine without leaving the chat.
The habit that makes this reliable is validating Claude's understanding before any analysis. Ask it to list every column, explain what each represents, and show sample values. This is the trust step: you confirm Claude has the structure and meaning right before you rely on anything it surfaces.
From there the workflow is iterative, not one-and-done. You can ask what questions the data is even sufficient to answer, drill into one of them, then keep going with "break this down by experience level" or "highlight any surprising patterns" without restarting. For consultants and solo operators, this is a fast way to turn a client's raw dataset into a first-cut analysis you can refine into a deliverable, and guiding the lens, such as hiring manager versus operations lead, changes the questions Claude raises.
One caution: treat the visuals and answers as exploratory tools, not finished deliverables. Be explicit about definitions that matter, since Claude may define something like "high-paying" on its own, and verify before you present anything to stakeholders.
Claude Projects, Artifacts, and Skills
These three features turn Claude from a chat window into a workspace. Each solves a different recurring problem: losing context, losing your outputs, and rebuilding the same instructions over and over.
Projects are persistent workspaces that carry context across conversations. You add project knowledge like documents and reference material, and set project instructions that apply to every chat, so you stop rebriefing Claude each time. A practical use is a standing assistant for a repeated task, like weekly leadership updates, where your tested prompt template lives in the instructions and only the variable input changes each week.
Artifacts are the standalone outputs Claude creates alongside the chat, such as documents, code, charts, and interactive mini-apps you can iterate on and share. They are what let the data analysis above become an explorable chart rather than a static answer.
Skills package your way of working into reusable capabilities Claude applies automatically. A skill bundles your instructions and reference material for a recurring task, so a repeated workflow becomes a consistent method instead of a fresh prompt each time. Getting value from this rests on workflow literacy, understanding your own work well enough to see which repeatable pieces are worth capturing in the first place.
Claude in Your Productivity Apps
Claude is most useful when it meets you inside the tools you already work in, not as one more tab you switch to. The value is not another destination to manage. It is Claude showing up where the work already lives, in your email, your documents, your spreadsheets, and your decks.
One distinction matters before the details, which is that the two big ecosystems are not symmetric. Inside Microsoft 365, Claude works within the apps themselves through Claude for Microsoft 365, so it edits the actual Word document or PowerPoint deck in front of you. With Google Workspace, Claude works through connectors instead, reading from and writing to your Gmail, Docs, and Sheets from the Claude side rather than sitting inside them. Both are useful, but they feel different in practice.
Email: Gmail and Outlook
Claude can work with your inbox instead of making you copy-paste, and it does this differently on each platform. Work email is rarely one isolated message. It is threads, follow-ups, and scattered context, and Claude can search across that history, summarize it, and draft based on what was actually said.
On Gmail, you connect your inbox to Claude with a direct connector. You set it up once under Settings, then Connectors, and after that Claude reads and drafts from your Gmail whenever a request calls for it, working from the Claude side rather than inside the Gmail window. Through the standard connector it does not send on your behalf.
On Outlook, you get both options. You can connect Outlook through the Microsoft 365 connector, which also brings in OneDrive, SharePoint, and Teams. You can also use Claude for Outlook, in beta, which sits inside your inbox and can triage your email, draft replies that wait for you to send, and help find time across calendars. Nothing goes out until you approve it.
The real shift is from drafting to processing your whole inbox. You can ask Claude to summarize a thread and reply in your tone, or to sort the day's email into newsletters and everything else and summarize the newsletters in bullets. Documents: Word and Google Docs
For long-form documents, Claude behaves quite differently inside Microsoft than inside Google. Inside Word, Claude works on the document itself. It can edit with tracked changes, respond to comment threads, and rewrite content using your company styles, so you are reviewing and accepting changes rather than pasting text back and forth. That makes it well suited to real editing work like tightening a board memo or cleaning up a contract draft.
With Google Docs, Claude works through the Google Drive connector. It reads your Docs for context and can create and update them from the Claude side, which covers most drafting and summarizing, though it does not sit inside the Google Docs editor the way it does inside Word. Spreadsheets: Excel and Google Sheets
Spreadsheets are where the in-app difference is most obvious. Inside Excel, Claude works directly in the sheet. It can answer questions about specific cells, update your assumptions, build a model from scratch, and work with formulas in place, which turns a static spreadsheet into something you can interrogate and rebuild without exporting it anywhere.
With Google Sheets, Claude works through the Drive connector plus its own data analysis. You can point Claude at a Sheet or upload the data, and it will read, analyze, and chart it in the conversation, as covered in the data section above. Presentations: PowerPoint and Google Slides
For slides, you have two routes depending on where the deck needs to live. Inside PowerPoint, Claude builds and edits in your own template. It can draft slides, edit selected content, and generate native charts and diagrams directly in the deck, so the output is already in PowerPoint rather than something you have to rebuild there.
For Google Slides or a standalone deck, the route is Claude Design. It builds the presentation on a visual canvas from your outline and exports to editable PowerPoint or shareable HTML, which you can then bring into Google Slides. Claude Design
Claude Design is a separate visual workspace, and it does far more than slides. It turns a prompt and a reference into designs, prototypes, wireframes, one-pagers, and interactive mini-apps you can iterate on and share. Think of it as the place where an idea becomes a finished visual artifact rather than a block of text.
The workflow is prompt, then refine. You describe what you want, point Claude at any source material, and it builds the first version on a canvas. From there you refine through chat, a Tweaks panel, annotations, or by editing directly on the canvas, so you are shaping the output rather than starting over each time.
Verification still comes before you ship anything. Look for unsupported claims, invented examples, or text too small to read, because the storyline, the sourcing, and the claims remain yours to check. When it is ready, you export to editable PowerPoint or shareable HTML.

Every tool sits somewhere on an autonomy spectrum, from a chatbot that answers one prompt at a time, to an assistant that uses tools when you ask, to a system that runs a whole job on its own and only comes back when it needs you.
Underneath every agent is the same simple loop: a trigger, a decision, an action, and a report. Something kicks the work off, Claude decides what steps to take, it carries them out across your connected tools, and it reports back. Claude Code: the engine you probably won't touch
Claude Code is the tool that started this whole shift, and it is the one most leaders will never open. It runs in the terminal, reads a codebase, edits files, and executes commands end to end. It is the reason Claude became the favorite among the engineering teams you likely already work with.
You do not need to use it to benefit from understanding it. The same agentic power that runs in Claude Code is what now sits inside the tools built for you. Knowing where it came from is enough.
Claude Cowork: delegating a job, not a prompt
Cowork takes the power of Claude Code and removes the terminal. The terminal frightened most professionals off, for the simple reason that it is not a place they live. Cowork wraps the same capability in a visual workspace where you brief Claude in plain language, and it sits alongside Chat and Code in the Claude desktop app.
The difference in practice is that you hand off a whole multi-step job rather than a single question. You point Cowork at a folder of files, connect the tools you already use like Gmail, Slack, or your CRM, and describe the outcome you want. It writes itself a to-do list, works across those tools, and comes back with a finished output: a briefing, a dashboard, a reconciled spreadsheet, a drafted message.
The examples land faster than the theory. When Claude reaches a decision only you should make, it pauses, sends a notification to your phone, and waits. Nothing ships until you sign off.
How a non-technical leader actually sets one up
You do not design the automation yourself. Claude does that part for you. The starting point is a workflow you already do by hand, ideally something repetitive like inbox triage, weekly reporting, or that morning briefing. You describe it to Claude in natural language, and it proposes the steps, tells you which tools it needs to connect, and sets up the recurring task for you.
Two habits make this reliable. First, if a workflow is complicated, record yourself doing it once and narrate each step, then hand that to Claude to turn into a repeatable process. Second, lean on skills and pre-built plugins, which are written instructions that teach Claude how you want a task done, so a one-off prompt becomes a consistent method. What to give it access to
An agent is only as safe as the access you give it, so treat permissions as a real decision, not a checkbox. Wherever possible, use a direct connector rather than letting Claude drive your screen through a browser, since screen-based access can expose more than you intend, like other open tabs.
Draw a clear line between personal and corporate data. For your own work, you can open up more. For client or company information, the default answer should be no unless you have explicit permission and a boundary you control. The point of an agent is to give you leverage, and leverage without judgment is just risk.

Claude Pricing and Plans
Claude starts free and scales up to enterprise. The free plan includes web search, memory, file creation, and connectors, with tight usage limits.
Pro is $20 a month, or $17 on an annual plan, and adds higher usage, Projects, Research mode, Claude Code, and Cowork. For most individual professionals, Pro is the plan that makes Claude a serious work tool.
Max starts at $100 a month, with five times or twenty times the usage of Pro depending on the tier, plus priority access and early features.
For organizations, Team plans run from $25 per seat per month, or $20 annually, with admin controls, SSO, and enterprise search. A Premium tier runs $125 per seat per month, and Enterprise pricing is custom, with stronger governance, compliance, and data retention controls.
Claude Privacy and Data Security
On business and enterprise plans, your data is not used to train Anthropic's models by default, with zero data retention available under specific enterprise terms.
On personal plans, data sharing is adjustable in your settings, and incognito chats are not used for training. As with any third-party tool, the sensible rule still applies: do not share information you would not share externally, and verify the outputs that matter.
What Claude Can't Do
Claude is powerful, but it has real limits, and knowing them upfront saves you frustration. Being clear-eyed about the edges is part of using any tool well.
Claude does not generate images or video. It can read and analyze images you give it, and it can reason about visuals in detail, but it cannot produce them. For image or video generation you will need a different tool, which is one of the clearest cases for keeping more than one AI in your kit.
Claude can be confidently wrong. Like every large language model, it will sometimes state something inaccurate in fluent, authoritative prose, and it is persuasive enough that errors are easy to miss. Verify facts, figures, names, and dates before anything leaves your desk. This matters most on exactly the high-stakes work where Claude is otherwise strongest.
Claude is sometimes over-cautious. Its safety training occasionally leads it to hedge or decline a request that is perfectly reasonable. When that happens, adding context about who you are and why you are asking usually resolves it.
Claude's built-in knowledge has a cutoff date. For anything recent it relies on web search or your connected sources rather than memory, so turn on search when a question depends on current information.
Claude vs ChatGPT, Gemini, and Copilot
Reach for Claude when the quality and reliability of the output matters more than the number of bells and whistles. If ChatGPT is the Swiss Army knife, Claude is the fountain pen: narrower in scope, and better at the thing it is built for.
Here is the short version of how the four major platforms compare. Claude leads on writing quality, careful reasoning, and coding, and it is the one to reach for when the output carries your name. ChatGPT has the largest surface area, with the widest feature set including image and video generation. Gemini is strongest if you live in Google Workspace and for tasks that lean on Google Search. Copilot is the natural fit when your organization runs on Microsoft 365 and you want AI sitting inside the tools you already use.
The more important point is that the top AI leaders do not bet on a single platform. They use more than one deliberately, running a second model to fact-check the first, challenge assumptions, and expose blind spots. So use Claude when you are writing or editing anything important, reasoning through a long or sensitive document, coding, or building agentic workflows where predictable behavior is non-negotiable. Reach for another tool when you need image or video generation, or the deepest integration into an ecosystem you already live in.
Used this way, Claude should give you time back rather than become one more tool to manage.
